When you are active on our website or contact us, you sometimes share personal data with us. We handle this data carefully and comply with the applicable laws and regulations. These laws concern the storage and use of your personal data.

In this privacy statement, we explain what data we collect from you and what we do with this data. This privacy statement applies to all interaction between you and Blendit.ai, regardless of the method of communication.

Blendit.ai, located at Straatweg 30-A-1 in Maarssen, is responsible for the processing of personal data as stated in this privacy statement. You can send questions or comments regarding your privacy to privacy@blendit.ai.

What is personal data?

All data that tells something about you and can be used to identify you is personal data. Think of your name, contact or address details, and your BSN (Dutch Social Security Number). Some of this data, such as ethnic origin, religion, or criminal history, is special personal data.

Special personal data

We do not collect special personal data.

Personal data of persons under 16 years

We do not intend to process personal data of persons under 16 years of age. However, we cannot check if a visitor to our website and servers is older than 16 years. If you are convinced that we have collected personal data from a minor without permission from a parent or guardian, please contact us via email, and we will remove this information if possible. If data of persons under 16 years is collected by us, this will always be done with the consent of their parent or guardian.

When do we process your personal data?

1. To help you when you have questions.

We are happy to help if you encounter any issues or have a question for us. You can call us, email us, or fill out a form on the website. We may also receive your data via third parties in connection with our services. To help you further, we store some of your data. This way, we know who you are and can also find what we discussed during the next contact moment.

2. To prepare and send quotes to you.

Before we start working for you, we send you a quote. For this, we store the following data:

• N.A.W. details (Name, Address, Place of residence)
• Company name
• Email address
• Phone number

3. To execute an agreement, create and set up an account for you, schedule onboarding sessions, and make appointments with you.

When you purchase services from us, you naturally want to be well-served and receive what you asked for. We store the following data for the execution of an agreement:

• N.A.W. details (Name, Address, Place of residence)
• Company name
• Employee data
• Email address
• Phone number

4. To invoice & collect payments.

The services you purchase must of course be paid for. If a (timely) payment is not made, we have the right to start a collection process. In connection with invoicing & collection, we store the following data:

• N.A.W. details (Name, Address, Place of residence)
• Company name
• Email address
• Phone number
• VAT ID number
• Chamber of Commerce number
• Bank account / credit card number

5. To keep you informed of changes in our services.

When we make changes to our services, general terms and conditions, privacy statement, or other important matters, we like to keep you informed. If you agree to this, we use the following data to process you in our administration system:

• Name
• Email address

6. To effectively execute advertisements and marketing.

To advertise effectively and to see how our advertisements perform, we use the Facebook Conversion API. When you give us permission through the cookie banner to use the Facebook Conversion API, the following data may be sent from our server to Facebook:

• Name
• Email address
• Phone number
• IP address

Cookies and similar techniques we use

Blendit.ai uses functional, analytical, and tracking cookies. A cookie is a small text file that is stored on your computer, tablet, or phone when you first visit a website. We use cookies with a purely technical functionality so that the website works as intended.

We also use analytical cookies such as Google Analytics to study the behavior of our visitors and improve the website accordingly. Last but not least, we sometimes use tracking cookies (Facebook pixel) so we can offer you customized content and advertisements. These include advertisers and social media companies.

If we need your permission to place cookies, we will ask you during your first visit to this website. We also refer you to our cookie statement. You can opt out of cookies by setting your internet browser to no longer store cookies. As mentioned earlier in this privacy statement, we use the Facebook Conversion API to advertise effectively. This technique only becomes active when you agree to it in the cookie banner.

Transfer to partners

We work with various suppliers and partners to provide our services.

These suppliers & partners include parties that:

• Handle our payments & collections (Rompslomp, Stripe)
• Provide our web hosting (Kinsta.com and Railway.com)
• Provide our servers (Supabase)
• Handle our customer inquiries and support (GetGist.com)
• Other software we use (OpenAI, Antropic, Replicate.com, and additional software requested by the client)

Our servers for all data are located in both Frankfurt and Amsterdam. We have processing agreements and/or confidentiality declarations with subprocessors to ensure the security of your data. We only work with partners who can comply with the GDPR legislation.

Some of our partners are located outside the European Economic Area (the countries within the European Union, Liechtenstein, Norway, and Iceland). Your data may be processed in America and/or other countries where these companies have their cloud storage, servers, and/or backups. We have taken appropriate measures with these partners, which are contractually agreed upon via a processing agreement / Data Processing Addendum or via a model agreement from the European Commission. The stricter GDPR has often already been signed and is operational by most of them. In this way, we ensure that your data is well protected.

Transfer to third parties

In principle, we do not share or sell your data with persons or organizations outside Blendit.ai, except with partners as described above. It may also be that we are obliged to provide your data on the basis of a legal obligation.

The security of your data

Blendit.ai has taken appropriate technical and organizational security measures to protect your personal data against misuse, unlawful or unauthorized use, and loss. All parties that process your data for us (subprocessors) or can view it (think of employees or contractors) sign a processing agreement or confidentiality declaration. These agreements and associated data are kept for as long as we work with these parties.

How long is your data kept?

We use different retention periods for different data streams. Of course, you always have the right to request us to delete your data. See also the heading "Your rights".

Personal data:
We delete name, address details, phone number, and email 2 years after our last contact.

Email:
Email older than 2 years is deleted unless it is still relevant for the execution of an agreement or resolving a dispute.

Invoices and quotes:
Invoices and quotes are deleted after the legal retention period of 7 years. Your data will remain in our invoicing system until then.

Your rights

You have the right to view, correct, and delete your personal data. You also have the right to withdraw your consent for data processing or to object to the processing of your personal data by Blendit.ai. You also have the right to data portability. You can send a request for access, correction, deletion, data transfer of your personal data, or request for withdrawal of your consent or objection to the processing of your personal data to privacy@blendit.ai.

To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. Make your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number, and Citizen Service Number (BSN) black in this copy. This is to protect your privacy. If your request relates to a cookie, we ask you to send it along as well. We will respond as quickly as possible, but within four weeks, to your request. Blendit.ai would also like to point out that you have the option to file a complaint with the national supervisory authority, the Dutch Data Protection Authority.

Reporting a data breach

If, despite all precautions, a data breach does occur, we adhere to the data breach notification obligation and will report this breach, if necessary, to the Dutch Data Protection Authority within 72 hours after discovery. If you discover a data breach, we kindly ask you to share this with us as soon as possible, but in any case within 24 hours after you have discovered the breach, by sending an email. We can then take immediate action.

Liability

This privacy statement only relates to the personal data that Blendit.ai processes for the purposes discussed in this agreement. Blendit.ai accepts no responsibility or liability for (the operation and/or content of) websites or services of third parties.

Changes to this statement

The content of this privacy statement can be adjusted at any time by Blendit.ai to respond to new developments in the area of law or regulations or changes within our company. In any case, we advise you to consult this privacy statement regularly to stay informed of our privacy policy. By continuing to use the services of Blendit.ai after changes, you agree to these changes.
